Governance Explanations

Form 990, Page 6, Part VI, Line 11B

The form 990 is sent to the board of directors for review and approval before filing.

Form 990, Page 6, Part VI, Line 12C

In addition to requiring board members, staff, and regular contractors to proactively notify the full board of any conflicts, all board members, staff, and regular contractors must sign an annual form which a) affirms that they have received a copy of the policy; b) read and understood it; c) agreed to comply with the policy; d) understood that one to one mentoring is a charitable organization and must engage in activities which accomplish one or more of its tax-exempt purposes; and e) list all relationships with one to one mentoring's vendors, service recipients, funders, employees and contractors. All potential conflicts are reviewed by the board of directors without the presence of the interested party.

Form 990, Page 6, Part VI, Line 15A

The board of directors reviews and approves the executive director's annual salary, with no participation by the executive director or other interested persons. The executive director's salary is established using comparable data for similarly qualified persons in functionally comparable positions at similar nonprofits; consideration of roles and responsibilities of the executive director; and cost of living data. Comparable market data is obtained from salary surveys and form 990s filed by comparable not-for-profit organizations. Discussions and decisions regarding the compensation are documented in executive committee meeting minutes. The executive director also receives reimbursements for routine, reasonble, and documented expenses incurred during the year under an accountable plan. The executive director travels throughout our service area. The organization has a travel policy that caps reimbursement levels and requires low-budget travel.

Form 990, Page 6, Part VI, Line 15B

A line item budget is approved by the board of directors annually. The board approves the overall salaries and benefits expenses. Discussions and decisions regarding the budget are documented in board meeting minutes. The executive director reviews and approves the salaries of other officers or key employees, with no participation by the interested persons, in accordance with the annual budget approved by the board. The executive director establishes salaries using comparable data for similarly qualified persons in functionally comparable positions at similar nonprofits; consideration of roles and responsibilities of the officer or key employee; and cost of living data. Comparable market data is obtained from salary surveys and form 990s filed by comparable not-for-profit organizations.

Additional Explanations

Form 990, Page 1, Item C

One to one mentoring program

Form 990, Page 1, Part I, Line 6

Forty volunteers served as mentors. Members of the board of directors served on a volunteer basis.

Form 990, Page 2, Part III, Line 4A

One to one mentoring operates community and peer mentoring programs for youth ages 5 to 18 in san miguel county and the west end of montrose county. All programs are rooted in established mentoring practices and encompass mentor recruitment, screening, training, matching and initiating, monitoring, support and closure. Program outcomes include an increase in social, emotional, academic, teamwork, and decision-making skills and increases in self-esteem, self-efficacy, access to community resources, and a feeling of community engagement. The organization's main program is its community mentoring program, in which screened volunteer adults are matched by personality/similar interests with youth, who are referred to the program in a number of different ways, including by families, schools, and agencies to focus on a range of needs. Matches spend time together weekly to explore activities based on the interests/desires of the youth. One to one mentoring hosts monthly activities for matches that focus on community service, the outdoors, and cultural pursuits. Matches meet for a minimum of 3 hours a week during the first year; as they mature, they tend to meet for longer. In 2021, 39 mentees and 41 mentors were served.
