Mission

The mission of the shaker museum/mount lebanon is to engage and inspire local, national, and global audiences by telling the story of the american shakers. The commitments of the shaker museum/mount lebanon are to: steward the shaker material legacy-the museum's artifacts and archives and mount lebanon's historic buildings and landscape-through collecting, conserving, preserving, protecting, documenting, and restoring; create a museum at mount lebanon that fosters a community of inquiry, re-imagines how visitors interact with shaker history, and unites the world's most comprehensive shaker collections with the most important historic shaker site; and share with diverse audiences the individual and collective stories of the shakers and their contributions to society-including religion, equality, communalism, pacifism, design, craft, and technology-through innovative and collaborative programs, public media content, and exhibitions.

Additional Explanations

Conflict of Interest

A formal conflict of interest policy was adopted on December 18, 2009. A formal disclosure form has been incorporated into these adopted procedures; however, conflicts may be disclosed through a letter, memo or e-mail to a designee of the Museum, as outlined in the policy. Persons covered by the conflict of interest policy include any insider of the organization. This includes any Trustee, Officer, employee, as well as Standing Committee or Ad-Hoc Committee member who has access to inside information. In addition, family members of insiders are included in the policy. Certain volunteers who have access to privileged information and certain outsourced consultants are subject to the policy. In general, the policy applies to anyone with an ability to influence the decisions of the organization or any person with access to information not available to the general public. The approved policy incorporates the level at which conflicts are reviewed. For employees, certain consultants and certain volunteers (not members of an Ad-Hoc or Standing Committee of the Board), the covered person is required to fully self-disclose any conflict or perceived conflict of interest to the President or Chair of the organization. The President may choose to submit the question to the Audit Committee for a decision or can choose to proceed with the decision or action at issue providing that proceeding does not violate the law. For Trustees or members of an Ad-Hoc or Standing Committee, the covered person is required to fully self-disclose any conflict or perceived conflict of interest to the Board Chair. At the Board of Trustees level, if any member of the Board does not self-disclose, the Board Chair or any member of the Board of Trustees can, prior to voting on a specific matter in which a potential conflict of interest exists, inquire whether any member of the Board desires to abstain from voting because of a conflict of interest. If no conflict exists and the challenged Trustee refuses to abstain from the deliberations or voting as requested, the Chair shall immediately call for a vote of the Trustees to determine whether the challenged Trust is in a conflict of interest. If a majority of the Trustees present vote to require the abstention of the challenged Trustee, that Trustee shall not be permitted to vote. A record of the proceedings shall be incorporated into the meeting minutes.

Conflict of Interest Monitoring

As part of the adopted Conflict of Interest Policy and Procedures, a comprehensive disclosure form has been developed. All trustees, officers, and employees are required to file a renewal each year. The form is signed and kept on file at the Shaker Museum and Library's offices.

Executive Compensation

Pursuant to the organization's bylaws, members of the board of trustees shall receive no compensation for their services, although they may be reimbursed for out-of-pocket expenses reasonably incurred by them in the performance of their duties. These reimbursements are subject to the expense reimbursement policy of the organization. At present, the shaker museum and library does employ a president who manages the affairs and business of the museum, subject to general oversight and control of the chair and board of trustees. He serves as a non-voting member of the board and all of the committees of the board. To determine the president's compensation, prior to hiring and periodically, the executive committee researches comparable salaries in the museum field and in similarly situated non-profits, gauged by their size, location, and similar stature to the shaker museum and library. Regional salaries for museums in our area are checked through the museum association of new york, and/or through known contacts at area museums. Qualified candidates must be above average in their level of knowledge and experience, and have proven experience in development and fundraising for non-profits.

Review Process of 990 by Governing Body

The President of the organization or his designee will distribute a copy of the completed Form 990 to the Audit and Finance Committee prior to a scheduled meeting with the lead auditor from the auditing firm. A review of the audited financials and Form 990 is conducted between the lead Auditor and Audit and Finance Committee. The Audit and Finance Committee will disseminate copies of the 990 and Audited Financials to the Board of Trustees. The Board of Trustees are given a deadline to inquire about any information in the form, which will allow time for review and any required corrections before the actual form is filed. In addition, an item is placed on the Board of Trustees meeting agenda which will allow for follow-up discussion.

Public Availability of Documents

The organization will provide copies of any governing documents, its conflict of interest policy, and financial statements to any interested party after receiving either a written or verbal request.

Related Trustees

Stephen williams and warden williams are brothers and are also the son of the founder. Both serve as members of the board of trustees.

The museum does not capitalize its collections. Costs of collection items purchased are shown as decreases in net assets in the statement of activities. Proceeds from sales of collection items and insurance recoveries of lost or destroyed collection items are presented as increases in net assets. The museum maintains such proceeds in a separate fund, temporarily restricted for the acquisition, preservation, protection, or care of collections.

Use of Collection to Promulgate Mission

To further the Museum's mission, the museum collects, preserves, and interprets one of the largest and most comprehensive collections of Shaker artifacts in the world, including furniture, domestic items, tools, machinery, finished production items, textiles, architectural items, and so on. The Emma B. King Library includes Shaker manuscripts and imprint materials, photographs, ephemera, and secondary research materials. The Museum encourages and supports the study and research of the collection, as well as its interpretation, through displays organized by the museum and other institutions, published articles and the Museum's annual Journal, and through loans to other institutions.

The organization has evaluated any uncertain tax positions and related income tax contingencies and determined uncertain positions, if any, are not material to the financial statements, according to fasb asc 740-10. Penalties and interest assessed by income taxing authorities are included in operating expenses, if incurred. The organization is no longer subject to examination by federal and state taxing authorities for years prior to fiscal year ended december 31, 2011.

IRS990/Desc0While the Museum is in transition from its Old Chatham site to the historic site at Mount Lebanon, its vast collections are largely in storage and not on view for the public. The Museum has identified a strategic initiative to work with other organizations during this period in providing object loans and loan exhibitions to utilize its collection resources for the public benefit. The Museum continued work with the Farnsworth Art Museum in Rockland, Maine, in the planning for its 2014 exhibition, "The Shakers: From Mount Lebanon to the World," to which the Museum will loan over 100 items from its collections. The museum also participated in the planning and providing content for the accompanying 250 page hard-cover catalog to be published by Skira Rizzoli in 2014, which will include essays by museum staff and a museum trustee. Throughout 2013, the Museum worked with a collaborative team of 5 educational non-profits in planning another major exhibition, to open in Albany, NY at the New York State Museum in late 2014, "The Shakers: America's Quiet Revolutionaries." The Museum will be a significant lender to this exhibition. The Museum continues to work with local organizations to provide content about Shaker history. Objects were on loan in 2013 to the Columbia County Historical Society for their exhibition about the Civil War; late in the year, the museum provided information and a object about local Shaker history to the newly formed Lebanon Valley Heritage Center. The Museum continues to work in making its collections and information available through electronic media. Projects in this area include a multi-year project to digitize and present on the internet over 1000 historic photographs; enhanced collection information on the museum's web page; and additional content on media platforms such as the Google Art Project; Facebook; Pinterest; and others. The Museum continues to refine its collections, and to add to both its archival and object holdings.

A third daily tour was added to the offerings, an exhibition on the Great Stone Barn project was installed, and the Visitor Center was enhanced with electronic content on i-pads in a new study area; a members' lending library; and an enhanced selection of new and used books on Shaker history and related topics in the Museum Store. Other general education programs offered during the year included an online exhibition of the biographies of Shaker women, designed to coincide with Women's History Month; an online and physical exhibition about the design, construction, history, and preservation of the Great Stone Barn, and numerous education outreach programs to area and regional audiences throughout the year. The Museum published its first scholarly Journal in January 2013, a four-color 48-page book, which included essays, photography, poetry, and archive transcriptions. The Journal was awarded First Prize in the country by the American Alliance of Museum in its annual Museum Publications Design Competition for a scholarly journal published by a small museum. The Museum continued to collaborate with other organizations to expand its education offerings. In collaboration with Siena College and a number of other educational non-profits in the area, the museum helped host an NEH-funded "Landmarks of American History" training program. 80 elementary and secondary teachers from across the country participated in two week-long sessions that focused on using Shaker historic sites, collections, and archives to enhance their teaching of history. The Museum also collaborated with nearby Hancock Shaker Village and Darrow School in hosting the annual Shaker Seminar at Mount Lebanon, a 5-day scholarly symposium. The museum assisted organizations in the local New Lebanon community in presenting the second-annual Mount Lebanon Herb Fest, a day-long celebration focused on the herbal medicine history of the community.

IRS990/ProgSrvcAccomActy3Grp/Desc0In 2013, the Museum began a 2-year project (2013-2014; total project budget approx. $2 million) to stabilize the Great Stone Barn at Mount Lebanon. The barn, which was gutted by fire in 1972, was the largest stone barn in America when built in 1859, and a testament to the Shakers' optimism, the financial and technological sophistication of their agricultural operations, and to their communal stewardship of the land and animals. Funding for the project was assembled over many years, and included federal grants from the Depts of Interior, HUD, and Transportation; a NY State grant from the Office of Parks, Recreation, and Historic Preservation; a major grant from the World Monuments Fund; and contributions from over 100 private foundations and individuals. The project, to be completed in 2014, will stabilize the stone walls of the building, with the goal of making the building available for interpretation as part of the Museum's operation of the historic site. The second major preservation project for the year took place on the 1829 Brethren's Workshop. This was the second major phase of a two-year project (total budget approx. $400,000) that involved interns in the Preservation Carpentry program from Boston's North Bennet Street School, who lived at the historic site and worked under master restoration contractors and specialists. The project completed repairs and reconstruction to the building's roof, chimneys, related structural elements, and gutter and drainage systems. Funding was provided through a major grant from the NY State Office of Parks, Recreation, and Historic Preservation and from a private foundation. Other restoration and preservation projects continued at the site, including preservation at the Poultry House. The Museum also moved forward on the purchase of a 61-acre parcel of historic Shaker lands adjacent to its Mount Lebanon site (which acquisition closed in early 2014), and continued to work with other community organizations, including the Shaker Swamp Conservancy, Columbia Land Conservancy, Open Space Institute, NY State DEC, Federal Forest Service, and others, to ensure that as much historic Shaker lands in and around Mount Lebanon are protected for the future.
