Governance Explanations

Form 990, Part VI, Line 11B: Form 990 Review Process

Save Our Shores Certified Public Accountant (CPA) prepares the organizations 990 based on required financial data submitted to her by the Finance Manager. Upon the CPAs completion of a draft 990, the Executive Director conducts the initial review and then provides a copy to the Board Treasurer who reviews it both individually and with the Finance Committee. The Treasurer may call a meeting of the Finance Committee with the express purpose of reviewing the 990 collectively, or may ask members of the Finance Committee to submit individual written comments. If, during this review process, questions or issues are raised regarding information in the 990, the Executive Director and Finance Manager reviews the backup data with the Treasurer or the full Finance Committee as appropriate. If it is determined that changes to the 990 are required, those changes are reviewed and discussed with the organizations CPA who will make revisions that the Executive Director, the Treasurer and the CAP agree should be made prior to finalization and submission of the 990.

Form 990, Part VI, Line 12C: Explanation of Monitoring and Enforcement of Conflicts

Save Our Shores has a conflict of interest policy. Implementation of the policy is by Board review. If a potential conflict of interest is raised, the Executive Committee reviews the facts and circumstances of the situation and determines if a Director should recuse him/herself from specific governance issues and/or decision making processes. Conflicts of interest at the staff level are reviewed by the Executive Director, who may seek guidance from the Executive Committee and is responsible for making a final determination of appropriate action.

Save Our Shores stores all of its financial statements, policies and documents on a secure server. They are not published on our website, but information regarding how to request access to those documents is provided there. IRS990/Desc0Save Our Shores engaged 4,370 individuals in its various outreach, education, and volunteer programs from January 1, 2020 to December 31, 2020. Additionally, Save Our Shores reached 67,848 people through the implementation of targeted, topic-specific social media outreach campaigns.Public Outreach & Advocacy: Save Our Shores held or attended 35 public outreach events, reaching 1,665 individuals. These events included both in person and virtual events such as Speaker Series, Dockwalking events, Trivia Nights, and more.Virtual Outreach Social Media Campaigns: Save Our Shores created and implemented two targeted social media campaigns to provide outreach to the community on waste-reduction topics. The first campaign was for the 4th of July holiday, reminding beach goers of responsible recreation practices such as packing your trash to reduce litter. The second was a Storm Water Stewards campaign to inform City of Santa Cruz residents of how to prepare their property in advance of the rainy season to prevent storm water runoff pollution. These campaigns included branded images and videos which were posted on Facebook and Instagram, reaching 67,848 people and gaining 4,493 engagements on Facebook and Instagram.Ocean/Marine Education: Save Our Shores reached 607 students and 92 adults through our education programs. Many students were engaged multiple times through our three-part lesson sequences, and some were engaged in five lessons through the delivery of our five-part Watershed Wonders Program. Save Our Shores converted a significant portion of its educational curriculum into a new format to accommodate distance learning practices and reach students virtually at home. SOS provided 51 educational presentations to 53 classes and six educational field trips with 11 classes, including two virtual field trips. Save Our Shores worked with youth in 14 schools from 3 school districts throughout the Central Coast region.Beach, River, and Inland Cleanups: Save Our Shores engaged volunteers in cleanup activities throughout Monterey and Santa Cruz Counties. For the first time, Annual Coastal Cleanup was hosted remotely and individuals conducted their own, local, socially distant cleanups using the Clean Swell App rather than meeting at specified locations on the same day at the same time. In total, the organization held 404 cleanups along beaches and rivers. 1,841 volunteers, including 539 youth, volunteered their time in cleanups. Altogether, these individuals logged over 2,510 volunteer-hours throughout the year at cleanup events.

IRS990ScheduleO/SupplementalInformationDetail/ExplanationTxt0Save Our Shores Certified Public Accountant (CPA) prepares the organizations 990 based on required financial data submitted to her by the Finance Manager. Upon the CPAs completion of a draft 990, the Executive Director conducts the initial review and then provides a copy to the Board Treasurer who reviews it both individually and with the Finance Committee. The Treasurer may call a meeting of the Finance Committee with the express purpose of reviewing the 990 collectively, or may ask members of the Finance Committee to submit individual written comments. If, during this review process, questions or issues are raised regarding information in the 990, the Executive Director and Finance Manager reviews the backup data with the Treasurer or the full Finance Committee as appropriate. If it is determined that changes to the 990 are required, those changes are reviewed and discussed with the organizations CPA who will make revisions that the Executive Director, the Treasurer and the CAP agree should be made prior to finalization and submission of the 990.

If a potential conflict of interest is raised, the Executive Committee reviews the facts and circumstances of the situation and determines if a Director should recuse him/herself from specific governance issues and/or decision making processes. Conflicts of interest at the staff level are reviewed by the Executive Director, who may seek guidance from the Executive Committee and is responsible for making a final determination of appropriate action.
