“The association's executive committee is composed of the officers of the board, the immediate past chair of the board and two senior supplier partner directors. The executive committee has the power of the board of directors when the board is not in session. The executive committee must report its actions to the board at the next succeeding board meeting to seek ratification of its actions.”

“The membership of PCMA is comprised of professionals engaged in meetings and conventions for their respective organizations or others. These members are classified as professional, associate professional, supplier and associate supplier. In addition, faculty and student members join from educational institutions supporting the meeting industry.”

“Nominations to the board are open to any professional or supplier member in good standing for a minimum of three years. A nominating committee then reviews and interviews all submissions which leads to the proposal of a slate for election to open board positions. Following notification of the slate to all members, there is a period of time in which additional nominations can be made through a prescribed petition process. When the specified process time elapses and, if no additional nominations are received, the proposed slate is deemed to be elected; otherwise, a balloting process is conducted.”

Board members may not participate in any private business or personal service with the organization except as procedurally controlled to assure openness, competitive opportunity and equal access to information. If an actual or potential conflict arises, the conflicted individual withdraws from board deliberation, voting and access to applicable board information. All proceedings related to conflicts of interest are documented in the meeting minutes.”
