Governance Explanations

Form 990, Part VI, Section A, line 2

The Interim CEO/Board Member, Lillie P. Allen, and the Assistant Treasurer/Director of Finance, Kathleen Lillis are married.

Form 990, Part VI, Section B, line 11B

The Assistant Treasurer and program consultant draft relevant parts of the Form 990 and Schedules and email them to the accountant. The accountant completes a draft of the Form 990 and emails it to the Assistant Treasurer, who reviews it and contacts the accountant with any clarifications or corrections. After this review, the Assistant Treasurer forwards the revised draft to the Interim CEO and consultants to review it and contact the accountant if they have questions. Then the draft is sent to the full Board. The draft is reviewed, corrected as necessary and then approved by the Board by consensus. The Assistant Treasurer sends the final, approved copy to the accountant to prepare the final Form 990, which is then signed by the principal officer and filed with the IRS and GA, WA and CA. Electronic copies of the final, signed Form 990 are emailed to the Board.

Form 990, Part VI, Section B, line 12C

BPI is a small NPO where the Board, Officers and Staff are in regular communication on an almost weekly basis. As part of the beginning of each meeting, there are "check-in's", where each person brings the other people at the meeting up-to-date on what they are doing, among other things. This process works well to monitor if any conflicts of interest arise. In addition, the board, employees and officers complete a conflict of interest and board independence questionnaire on an annual basis.

Form 990, Part VI, Section C, line 19

All of Be Present, Inc.'s governing documents, conflict of interest policy, board of directors independence questionnaires, and financial statements are available to the public by request. The requested documents can be reviewed at the Be Present, Inc. office, sent electronically or by mail. When funding permits, some of the documents will be available on the Be Present website.

IRS990/Desc0CONSULTING & TRAINING SERVICES AND COLLABORATIONS. (1) Consulting Services: The demand for consulting services continued to grow in 2021. Organizations are prioritizing diversity, equity and inclusion as core values, resulting in more requests for Be Present, Inc. (BPI) consulting services using the Be Present Empowerment Model (BPEM) as a core component of the services. BPI provided Consulting Services for 4 NPO's in 2021: (A) National Advocates for Pregnant Women (NAPW), a NYC NPO that works to secure the human and civil rights, health and welfare of all people, focusing particularly on pregnant and parenting women, and those who are most likely to be targeted for state control and punishment. BPI designed and delivered training to strengthen leadership skills of the Senior Management Team and staff. Services included: (i) Three planning sessions with the Senior Management Team to custom design and prepare the team for their role; (ii) Design and delivery of the training; and (iii) De-brief meeting with the Senior Management Team. (B) Pie Ranch, a CA NPO committed to cultivating a healthy and just food system from seed to table through food education, farmer training and regional partnerships. BPI's services centered on supporting the organization in the evolution of its mission and vision. Services included: (i) Three planning sessions with the Leadership Team to custom design and prepare the team for their role; (ii) Design and delivery of 2 day Equity-Centered, Transformative Leadership Development Training for all staff; (iii) Three leadership development sessions for the organization's Co-Founders; (iv) Three Human Resources support sessions with HR director; and (v) Preparation and presentation of a Final Report that provided an analysis of staff reflections and key issues and recommendations for next steps. (C) Society of Clotilda, a special project of Lifeline Counseling Services of Mobile, AL. It is a joyful health and wellness collective dedicated to the celebration, development, and prosperity of Black Women and their children. In 2020 Be Present provided training and consulting services, which extended into 2021 with a 90-minute leadership support (coaching) session with the collective's co-founders. (D) The Libra Foundation, a CA-based foundation that supports frontline organizations in building a world where communities of color thrive. Civis Consulting, LLC, a consultant with The Libra Foundation, contracted with Be Present to design and deliver a 2-day all-staff training in the Be Present Empowerment Model entitled, "Building Trust-Based Organizational Culture and Practices." (2) Collaborations: Social change is not accomplished by one organization working alone, but by the collaboration of organizations working together for the social good and justice. An essential pillar of BPI is building strong and sustainable alliances. In 2021 BPI collaborated with a non-profit, Wisdom & Money, and a cohort of NPO leaders, Money and the New Community. (A) Wisdom & Money: BPI collaborated with Wisdom & Money to offer an 18-month training institute entitled: "Trailblazing Institute: Creating and Sustaining Inner Transformation, Partnerships and Social Justice." Members of both organizations collaborated to design and facilitate two introductory weekends to engage interest in the Institute, which will begin in 2022 and run through 2023. The Institute will teach the BPEM, Wisdom Spiritual Practices and Transformative Money Practices to create sustainable leadership for social justice. It is comprised of six, quarterly 4-day sessions concluding with a national conference. The first session of the Institute will begin in April 2022 with a diverse training cohort of approximately 32 children, youth and adults. (B) Money and the New Community: BPI participated in Money and the New Community, a cohort of NPO leaders that convenes monthly to explore new ways to engage with money as a resource for social justice.

IRS990/ProgSrvcAccomActy2Grp/Desc0NATIONAL NETWORK LEADERSHIP DEVELOPMENT BPI's mission is to build sustainable leadership for social justice. To accomplish this mission, BPI engaged in the following activities that provide people with the skills and insights to become more effective leaders in their families, communities, and other institutions in which they participate: (A) Regional Organizing Core Group (ROCG) Support and Development: BPI supported established ROCG's in NY, GA, CA and OR to organize in local communities by developing Be Present Support Groups and holding free monthly developer's meetings to train people in the BPEM. BPI designed and delivered "Be Present Empowerment Model Training Day" for ROCGs and people interested in joining the community to strengthen leadership skills to bring into their families, communities and institutions. Approximately 200 people were served during 2021. BPI supported Emerging ROCGs in NC/SC and other areas through telephone and online technical assistance and training on the BPEM. (B) Children & Youth Learning & Play Leadership Program (CYLP): The CYLP is a partnership between adult and youth from ages 5 to 18 years old. Approximately 20 youth are members of the Program. They learn leadership skills, receive training in the BPEM and are skilled trainers and facilitators. They are responsible for developing their own Be Present Support Groups, with the support of their ROCG's. CYLP members are non-voting Youth Advisers on the BPI Board of Directors who are authentically involved in BPI leadership, planning and program development. In 2021, the CYLP met monthly to design and deliver several leadership development trainings: (i) "Be Present Celebration of Love Party; and (ii) "Be Present Family Day: Building Trust and Connection" with an "Evening of Creativity." Approximately 45 people attended CYLP leadership development trainings during 2021. (C) National Network Leadership Monthly Meetings: The National Network Leadership is comprised of representatives from each ROCG and the BPI Board of Directors. They convened monthly by Zoom to report on activities in each development area; monitor progress on actualization plans; and share best practices in leadership and fund development. (D) National Network Leadership Annual Training (NNLT). In November BPI held its annual NNLT, "Transformative Leadership for Social Justice." The week began with a 2-day BPI Board Meeting open to the public; followed by 2 leadership development trainings: "Build Effective Relationships for Change", and Create an Inclusive Movement for Social Justice." An Evening of Creativity was hosted on the final evening. The NNLT was attended by approximately 50 people.

IRS990/ProgSrvcAccomActy3Grp/Desc0FISCAL SPONSORSHIP BPI is a fiscal sponsor for the Destination Design School for Agricultural Estates (DDS). DDS is a design planning and arts community school focused on children aimed at strengthening cooperation and experimentation in agricultural design practices, uniting contemporary science, the arts, political education and indigenous ecological knowledge. The project, DIGGING DU BOIS, is documentation of a 200-mile walk in the footsteps of W.E.B. DuBois, the pioneering sociologist, historian, and civil rights activist. His 1903 book, The Souls of Black Folk, remains an essential work of Black literature and sociology. DIGGING DU BOIS encompasses a series of site-specific performance installations, journeying across six different sites from Atlanta to Albany, Georgia. The walk is a response to the Georgia Black Belt's long-standing problems of ecology and history, inspired by Du Bois and his original research in 1901 for the Department of Labor regarding the "Negro Landowner" - many of whom held the position of agricultural laborers and servants - in the region after Reconstruction. In 2021 DDS's founder reenter the land of Du Bois's Black Belt through the design of a whole trail structure. With the help of collaborating artists, frontline community leaders, designers, scientists, archeologists, architects, and ecologists, she explored, on foot, new and old landscapes that highlight the grounds that were around 150 years ago, and the human and natural history that has shaped this region for centuries. In 2021, the project also initiated its Children and Youth Designers in Residence where children in cooperation with adults created a virtual exhibition that showcases the walk and its history.

IRS990ScheduleO/SupplementalInformationDetail/ExplanationTxt0The Interim CEO/Board Member, Lillie P. Allen, and the Assistant Treasurer/Director of Finance, Kathleen Lillis are married.
IRS990ScheduleO/SupplementalInformationDetail/ExplanationTxt1The Assistant Treasurer and program consultant draft relevant parts of the Form 990 and Schedules and email them to the accountant.
IRS990ScheduleO/SupplementalInformationDetail/ExplanationTxt2BPI is a small NPO where the Board, Officers and Staff are in regular communication on an almost weekly basis.
IRS990ScheduleO/SupplementalInformationDetail/ExplanationTxt3All of Be Present, Inc.'s governing documents, conflict of interest policy, board of directors independence questionnaires, and financial statements are available to the public by request. The requested documents can be reviewed at the Be Present, Inc. office, sent electronically or by mail. When funding permits, some of the documents will be available on the Be Present website.
