Governance Explanations

Form 990, Part VI, Section A, line 2

The Interim CEO/Board Member, Lillie P. Allen, and the Assistant Treasurer/Director of Finance, Kathleen Lillis are married.

Form 990, Part VI, Section B, line 11B

The Assistant Treasurer and program consultant draft relevant parts of the Form 990 and Schedules and email them to the accountant. The accountant completes a draft of the Form 990 and emails it to the Assistant Treasurer, who reviews it and contacts the accountant with any clarifications or corrections. After this review, the Assistant Treasurer forwards the revised draft to the Interim CEO and consultants to review it and contact the accountant if they have questions. Then the draft is sent to the full Board. The draft is reviewed, corrected as necessary and then approved by the Board by consensus. The Assistant Treasurer sends the final, approved copy to the accountant to prepare the final Form 990, which is then signed by the principal officer and filed with the IRS and GA, WA and CA. Electronic copies of the final, signed Form 990 are emailed to the Board.

Form 990, Part VI, Section B, line 12C

BPI is a small NPO where the Board, Officers and Staff are in regular communication on an almost weekly basis. As part of the beginning of each meeting, there are "check-in's", where each person brings the other people at the meeting up-to-date on what they are doing, among other things. This process works well to monitor if any conflicts of interest arise. In addition, the board, employees and officers complete a conflict of interest and board independence questionnaire on an annual basis.

Form 990, Part VI, Section C, line 19

All of Be Present, Inc.'s governing documents, conflict of interest policy, board of directors independence questionnaires, and financial statements are available to the public by request. The requested documents can be reviewed at the Be Present, Inc. office, sent electronically or by mail. When funding permits, some of the documents will be available on the Be Present website.

IRS990/Desc0CONSULTING & TRAINING SERVICES AND COLLABORATIONS. (1) Consulting Services: 2020 was a year of increased demand for training in the Be Present Empowerment Model (BPEM). Long-standing issues of race, gender, power and class were elevated, resulting in more requests for BPEM training from individuals, communities and organizations. Local trainings were conducted by the Regional Organizing Core Groups, and Be Present, Inc. (BPI) provided Consulting Services for 4 NPO's in 2020: (A) Wisdom & Money, a California NPO that supports people to explore their relationship with money as a powerful spiritual practice that can lead to inner and outer transformation. BPI designed and delivered two trainings to its Board of Directors, inclusive of meeting design and training with the Board Leadership Team. A proposal for Phase II is in development and will focus on HR system development, including work-from-home policies and hiring, orientation and onboarding policies and procedures. (B) National Advocates for Pregnant Women (NAPW), a New York NPO that works to secure the human and civil rights, health and welfare of all people, focusing particularly on pregnant and parenting women, and those who are most likely to be targeted for state control and punishment - low-income women, women of color, and drug-using women. Work in 2020 was Phase II of work conducted in 2019. BPI designed and delivered a two-day All-Staff Leadership Training. Preparations included two meetings with the Senior Management Team to customize the training design and prepare the team for their role. A Final Report was submitted that included recommendations for next steps. (C) Pie Ranch, a California NPO committed to cultivating a healthy and just food system from seed to table through food education, farmer training and regional partnerships. BPI's services centered on supporting the organization in the evolution of its mission and vision. Services included: (i) Individual interviews with employees and one member of the Board of Directors to identify the organization's current strengths, challenges and opportunities for improvement; (ii) Preparation and presentation of a Key Findings Report to the Leadership Team; (iii) Facilitation of 3 HR support meetings with HR Director, including review and assessment of HR systems, policies, structures and processes; (iv) Five sessions with the Leadership Team to custom design and deliver a leadership team training; (v) Design and delivery of three-day training for the Leadership Team; and (vi) Preparation and presentation of a Final Report that provided an analysis of staff reflections and key issues and recommendations for next steps. A proposal for Phase II was submitted and approved for consulting services in 2021 that includes ongoing development of the leadership team, all-staff leadership training, ongoing leadership support for co-founders, and HR leadership support. (D) Society of Clotilda is a special project of Lifeline Counseling Services of Mobile, AL. It is a joyful health and wellness collective dedicated to the celebration, development, and prosperity of Black Women and their children. The collectives' vision is to reduce the high rates of trauma, domestic violence, depression and sexual assault due to global, systemic racism, poverty and interpersonal sabotage at the hands of the criminal justice system by building a new community practice rooted in joy and empowerment. BPI custom designed and delivered two 4-hour modules in the BPEM for its "How I Wear My Crown" training series: "Know Yourself Outside the Distress of Oppression and "Listen to Others in a Conscious and Present State." BPI provided two 90-minute leadership support (coaching) sessions with its co-founders. COLLABORATIONS. Social change is not accomplished by one organization working alone, but by partnerships of organizations working together for the social good and justice. An essential pillar of Be Present is building strong and sustainable alliance

IRS990/ProgSrvcAccomActy2Grp/Desc0National Network Leadership Development: BPI was able to pivot quickly and effectively to respond to the COVID-19 pandemic through maintaining leadership development and programming in the virtual space. This ability to pivot was directly connected to the commitment of Be Present's volunteers and partners, as well as the transferability of the BPEM to a virtual environment via Zoom. BPI's mission to build sustainable leadership for social justice. To accomplish this mission, BPI engaged in the following activities that provide people with the skills and insights to become more effective leaders in their families, communities, and other institutions in which they participate: (A) Regional Organizing Core Group (ROCG) Support and Development: BPI supported established ROCG's in NY, CA and GA to organize in local communities by developing Peer-Led Support Groups and holding free monthly developer's meetings to train people in the BPEM. Approximately 175 people were served during 2020. It also supported Emerging ROCG's in OR, OH and NC/SC, as well adults and youth organizing in San Marcos de la Laguna in Guatemala through telephone and online technical assistance, training on the BPEM and working extensively with their leadership teams. BPI facilitated monthly leadership development sessions and two leadership development trainings with the Emerging NC/SC ROCG. BPI designed and facilitated two ROCG Training Days to continue skill building in the BPEM and explore issues that impact relationship building. (B) Children & Youth Learning & Play Leadership Program (CYLP): The CYLP is a partnership between adult and youth from ages 5 to 18 years old. Approximately 20 youth are members of the Program. They are learning leadership skills, receiving training in the BPEM and are skilled trainers and facilitators in the BPEM. They are responsible for developing their own support groups, with the support of their ROCG's. They are non-voting Youth Advisers on the BPI Board of Directors who are authentically involved in BPI leadership, planning and program development. In 2020, the CYLP met monthly to design and deliver several leadership development trainings: (a) Creative Performance in NYC sharing the BPEM through dance, spoken word, and song; (b) Virtual training session for CA ROCG, repurposed from planned in-person trip; (c) Two virtual training sessions for Emerging ROCG in San Marcos de la Laguna in Guatemala; repurposed from planned in-person trip. Approximately 50 people attended CYLP leadership development trainings during 2020. (C) National Network Leadership Monthly Meetings: The National Network Leadership is comprised of representatives from each ROCG and the BPI Board of Directors. They convened monthly by Zoom to report on activities in each development area; monitor progress on actualization plans; and share best practices in leadership and fund development. (4) National Network Leadership Annual Training (NNLT). In November BPI held its annual NNLT, "Transformative Leadership for Social Justice." The week began with a 2-day BPI Board Meeting open to the public; followed by 2 leadership development trainings: "Build Effective Relationships Across the Intersecting Issues of Race, Gender, Power & Class", and "Realize an Inclusive Movement for Social Justice." On the final evening, the CYLP hosted a Creative Performance sharing the BPEM through dance, spoken word, song and dance. The NNLT was attended by approximately 100 people.

IRS990/ProgSrvcAccomActy3Grp/Desc0FISCAL SPONSORSHIP: BPI is a fiscal sponsor for The Destination Design School for Agricultural Estates (DDS). DDS was started to help understand community voices in search of solutions that enhance inter-generational access to traditional lands and resources. It is a design planning and arts community school focused on children aimed at strengthening cooperation and experimentation in agricultural design practices, uniting contemporary science, the arts, political education and indigenous ecological knowledge. BPI began its fiscal sponsorship in 2018 under a grant for pre-production and shooting a trailer that introduces the documentary project, DIGGING DEBOIS: DESIGNING A DRAWDOWN TRAIL IN GEORGIA. The trailer depicts the process undertaken to design and develop a 300-mile agricultural heritage trail based on the works of pioneering sociologist, historian and civil rights activist W.E.B. DuBois concerning the Georgia Black Belt region.. In 2019, DDS received an additional grant of $5,000 for the project. The purpose of the trailer is to introduce a proof of concept for design interventions in African American wealth creation through land regeneration in the Black Belt region. The DDS works with artists and individuals, cultural and sustainability organizations, funders and policy makers, connecting them to the change process and exploring how the cultural section can contribute to environmental sustainability. The DDS is a long-term project, and BPI fiscal sponsorship should finish out in the 2021/2022 school year, when the project will be sufficiently advertised and children between the ages of 6 and 14 (with the help of 60 educators and design staff from across the country) will begin attending youth design classes and workshops and creating projects for the future.

IRS990ScheduleO/SupplementalInformationDetail/ExplanationTxt0The Interim CEO/Board Member, Lillie P. Allen, and the Assistant Treasurer/Director of Finance, Kathleen Lillis are married.
IRS990ScheduleO/SupplementalInformationDetail/ExplanationTxt1The Assistant Treasurer and program consultant draft relevant parts of the Form 990 and Schedules and email them to the accountant.
IRS990ScheduleO/SupplementalInformationDetail/ExplanationTxt2BPI is a small NPO where the Board, Officers and Staff are in regular communication on an almost weekly basis.
IRS990ScheduleO/SupplementalInformationDetail/ExplanationTxt3All of Be Present, Inc.'s governing documents, conflict of interest policy, board of directors independence questionnaires, and financial statements are available to the public by request. The requested documents can be reviewed at the Be Present, Inc. office, sent electronically or by mail. When funding permits, some of the documents will be available on the Be Present website.
