“The irs form 990 is prepared annually by a reputable accounting firm from information provided by the washington county fair association. Upon completion of the return, is is initially reviewed by officers of the association and selected directors. Upon completion of the review, any questions or clarifications related to the return are obtained from the appropriate entity and discussed with the accounting firm for clarification or correction. At a properly convened meeting. Upon favorable action by a majority of the board of directors, the form 990 will be submitted to the internal revenue service. The board of directors by their review and approval of submission of the form 990 represents their general agreement that the return was prepared in a reasonable manner, based upon their knowledge of the financial matters related to the association. The board of directors is aware that the internal revenue service may initiate questions or perform an audit of the books and records of the association. The board of directors acknowledges that such action may result in changes to the form 990 as originally submitted.”

“At least annually a copy of the conflict of interest policy and a conflict of interest policy information form will be sent to all directors, the president, executive vice-president and division vice-presidents of the washington county fair association. Upon return of the information form, a master list identifying potential conflicts of interest will be prepared and available at board meeetings should any action be taken that might give rise to a potential conflict of interest.”

“The washington county fair association makes its governing documents, conflict of interest policy, and applicable financial statements available to the public upon request. Requests should be made in writing to: washington county fair association, 1305 east blue bell road, brenham, tx 77833 (979)836-4112 requests will be processed and forwarded to the inquirer as soon as possible. Any applicable fees associated with the preparation of the requested information must be paid prior to the release of that information.”
