2018 ACCOMPLISHMENTS:IN MAY OF 2018, ARCHIVIST JESSICA NEWELL ARRIVED TO IMPLEMENT THE RECOMMENDATIONS FROM THE HISTORY ASSOCIATES' ARCHIVAL ASSESSMENT. THE FIRST PRIORITY WAS TO STABILIZE THE ENVIRONMENT IN THE ARCHIVE. THE TEMPERATURE AND HUMIDITY LEVELS WERE ABOVE ARCHIVAL STANDARD. IN ADDITION, THE ARCHIVE WAS NOT PROTECTED FROM THE EVENT OF FIRE. IN THE SUMMER AND EARLY FALL OF 2018, E.C.F. INSTALLED A CLIMATE CONTROL SYSTEM AND A FIRE SUPPRESSION SYSTEM TO PROTECT THE ARCHIVAL COLLECTIONS. THE SECOND PRIORITY INVOLVED CONDUCTING A NEW INVENTORY OF THE COLLECTION AND REHOUSING MATERIALS IN ARCHIVAL-QUALITY FOLDERS AND BOXES. E.C.F. ACQUIRED COLLECTIVE ACCESS, AN OPEN-SOURCE CATALOGING SOFTWARE THAT ALIGNS WITH THE SOCIETY OF AMERICAN ARCHIVISTS' DESCRIBING ARCHIVES: A CONTENT STANDARD (2015). NINETEEN COLLECTIONS HAVE BEEN CATALOGED TO DATE. THE CATALOG WILL BE SEARCHABLE BY THE PUBLIC ON THE NEW E.C.F. WEBSITE, WHICH IS CONNECTED TO THE CATALOGING COMPONENT OF COLLECTIVE ACCESS. THE WEBSITE SHOULD BE PUBLIC IN MAY-JUNE OF 2019. APPROXIMATELY 40 PERCENT OF THE E.C.F. ARCHIVE HAS BEEN INVENTORIED, WITH PARTICULAR EMPHASIS GIVEN TO THE EDGAR CAYCE READINGS AND THE CAYCE FAMILY COLLECTION.E.C.F. IS ALSO WORKING WITH THE SPACE SAVERS COMPANY TO INSTALL ARCHIVAL QUALITY-MOBILE SHELVING. THIS SHELVING CONSISTS OF ROLLING METAL CARRELS THAT ARE POWDER-COATED WITH A CHEMICALLY-STABLE COMPOUND THAT WILL NOT OFF-GAS AND DAMAGE THE MATERIALS. THE SHELVING WILL ADD ABOUT 1/3 MORE SPACE TO THE ARCHIVE. CONSTRUCTION WILL BEGIN IN JULY OF 2019.FURTHERMORE, STAFF HAS BEEN DEVELOPING A PLAN TO ADDRESS THE ENORMOUS MEDIA COLLECTION HELD BY E.C.F. THE COLLECTION INCLUDES SHELLAC RECORDS, AUDIO-CASSETTES, REELS, U-MATIC TAPES, ETC. THAT DOCUMENT THE ACTIVITIES OF E.C.F. AND THE A.R.E. FROM THE 1930S TO THE PRESENT. CURRENTLY STAFF IS INVENTORYING THE COLLECTION AND MARKING SPECIFIC MATERIALS FOR DIGITIZATION PRIORITY. THE SCREENSAVER'S COMPANY IN COVINGTON, KENTUCKY HAS ALREADY DIGITIZED A 35MM REEL FROM THE A.R.E.'S VISIT TO RUSSIA IN 1971. TYLER TODESCHI, WHO IS VOLUNTEERING FOR E.C.F., IS DIGITIZING SEVERAL BOXES OF THE AUDIO-REEL COLLECTION. E.C.F. HOPES TO APPLY FOR GRANT FUNDING FROM CULTURAL HERITAGE ORGANIZATIONS TO DIGITIZE AND PRESERVE ITS ENDANGERED MEDIA COLLECTION. FURTHERMORE, E.C.F. IS IN DISCUSSION WITH HAMPTON UNIVERSITY TO APPLY FOR A NATIONAL ENDOWMENT FOR THE HUMANITIES GRANT FOR FUNDING AN INTERNSHIP PROGRAM FOR ITS HISTORY STUDENTS.IN ADDITION TO PRESERVING AND MAKING ACCESSIBLE ITS ARCHIVAL COLLECTION, E.C.F. HAS CONCENTRATED ON INCREASING ITS PRESENCE AMONG A.R.E. MEMBERSHIP AS WELL AS IN THE WIDER PROFESSIONAL ARCHIVAL FIELD. ARCHIVIST JESSICA NEWELL HAS REVIVED THE E.C.F. COLUMN IN VENTURE INWARD MAGAZINE WITH "CAYCE CHRONICLES" TO SHARE INTERESTING STORIES AND NEWS FROM THE ARCHIVE. THE UPCOMING E.C.F. WEBSITE WILL ALSO HAVE A CONSISTENTLY UPDATED BLOG.E.C.F. HAS ATTENDED TWO CONFERENCES WITHIN THE PAST YEAR. STAFF BROUGHT A TABLE TO THE REGIONAL GENEALOGICAL CONFERENCE AT SLOVER LIBRARY IN NORFOLK, VIRGINIA. THIS WAS A GREAT OPPORTUNITY TO NETWORK WITH AREA PROFESSIONALS AND INCREASE AWARENESS OF THE ARCHIVE IN THE LOCAL COMMUNITY. IN ADDITION, ARCHIVE STAFF PRESENTED AT THE MID-ATLANTIC REGIONAL ARCHIVES CONFERENCE IN MORGANTOWN, WEST VIRGINIA. THE PANEL CONSISTED OF LAURA HOFF, JESSICA NEWELL AND ARCHIVISTS FROM THE UNIVERSITY OF BALTIMORE, THE REFORMED CHURCH IN AMERICA, AND THE DAUGHTERS OF CHARITY, PROVINCE OF ST. LOUISE. THE PARTICIPANTS SPOKE ABOUT STARTING A NEW ARCHIVES PROGRAM AND STRATEGIES TO MAKE IT SUCCESSFUL. THIS WAS THE FIRST TIME THAT E.C.F. HAD A PRESENCE AT A PROFESSIONAL MEETING. E.C.F. IS ALSO A MEMBER OF THE SOCIETY OF AMERICAN ARCHIVISTS. ECF HAS SOLIDIFIED ITS WRITTEN POLICIES AND PROCEDURES, INCLUDING RESEARCHER AGREEMENTS AND GUIDELINES FOR USE OF ITS COLLECTIONS. THE ARCHIVE FOLLOWS THE SOCIETY OF AMERICAN ARCHIVIST'S PROFESSIONAL GUIDLINES AND CODE OF ETHICS. ONE OF THE MAIN GOALS OF THE ARCHIVES PROJECT IS TO KEEP IN ALIGNMENT WITH HOW THE FOUNDERS, EDGAR EVANS CAYCE, HUGH LYNN CAYCE, AND GLADYS DAVIS, SET UP THE FOUNDATION. THE ABOVE MENTIONED FIRST STEPS WILL SET THE ARCHIVE UP FOR THE NEXT PHASE OF PROCESSING THE VARIOUS COLLECTIONS WITHIN THE ARCHIVE AND PREPARING MATERIALS DIGITALLY FOR A CONTENT MANAGEMENT SYSTEM. THE OVERALL PROJECT GOAL IS TO HAVE THE PHYSICAL COLLECTION IN COMPLETE COLLABORATION WITH THE DIGITAL ASPECT OF THE COLLECTION. THE VARIOUS PHASES THAT WILL BRING THIS PROJECT TO COMPLETION MAY TAKE YEARS AND WE ARE DEDICATED TO PRESERVING THE HISTORY OF THE EDGAR CAYCE WORK IN THE BEST WAY POSSIBLE. THIS ASSESSMENT COULD NOT HAVE HAPPENED WITHOUT THE SUPPORT OF SEVERAL CONTRIBUTIONS. WE ARE SO GRATEFUL AND APPRECIATIVE FOR THE CONTINUED SUPPORT.$0$50,499
