“The organization compiles its financial information and submits it to an independent accounting agency. Once the tax return is prepared, the return is submitted to the treasurer for review before it is signed and filed with the appropriate taxing authority. The filing organization does not require each of the members of the governing body to review the return before it is filed. However, the organization ensures that the return is made available to all of its governing body members so that they all have equal opportunity to review the financial reports and returns.”

“Any information, such as time sheet for example, is submitted by board members and volunteers during the weeks of preparation for the fair. All of the paperwork turned in is reviewed by the treasurer of the organization to ensure full disclosure and integrity of its volunteers and board members. The organization shares this policy on conflict of interest, monitoring, and document retention and destruction with each of its disregarded entities under the holmes county agricultural society for tax purposes. They share the same policies and use the same method of enforcement as the holmes ag society.”

“The compensation for the following positions: president, vice-president, secretary, treasurer, and building/grounds director; are all nominated by the remaining members and votued upon annually. The disregarded entities do not currently compensate any of their volunteers, however, if the organization would ever decide to do so, it would adopt the same compensation policy as the holmes county agricultural society.”

“The organization makes its governing documents and conflict of interest policy available by request. A summary of the organization's financial statement is published annually in the daily record, a local newspaper, and the organization's most recently filed tax returns are available through another's website.”

“The organization's governing body is responsible for selection of an independent accounting firm and review of financial statements. This has not changed since the prior year.”
