ReasonableCauseExplanation/ExplanationTxt0Our organization respectfully requests penalty relief for the late filing of our Form 990-EZ. We believe reasonable cause exists because the delay resulted from circumstances beyond our control, despite our exercising ordinary business care and prudence. Our nonprofit is a small, volunteer-run organization with limited administrative resources and staff with no paid financial personnel. During the period in which the return was due, we experienced unanticipated shortcomings and significantly limited volunteer availability, burdening our already lean staff. As a result, we were unable to gather the necessary records in time to prepare an accurate return by the deadline. Because our financial operations rely entirely on volunteers, the sudden decrease in available support created delays that were outside of our control despite our best efforts to maintain compliance. Once the disruption was identified, we acted promptly to secure the required information, complete the financial reconciliation, and finalize the Form 990-EZ for submission. To prevent any recurrence, we have updated our internal compliance procedures, including establishing a clearer filing calendar, designating specific board members to oversee annual reporting, and improving documentation practices to ensure continuity even in times of volunteer transition. We have already identified a tax agent to begin working with our filing plan for the next tax season. Our organization is committed to meeting all IRS requirements, and this late submission was an isolated incident caused by unforeseen staffing and volunteer constraints rather than intentional neglect. We respectfully request that the IRS consider this explanation as reasonable cause and grant relief from associated penalties.
