“The Jags Athletic Booster Club had 178 Athletic Booster Members for the 2024-2025 Year - Each paid family membership had 1 vote regardless of the size of the family.”

“2024-2025 had 178 Booster Members with a quorum of 9 members to elect an Executive Board Member. At the end of each fiscal year, candidates are vetted and at the last General Membership Meeting the executive board candidate slate is voted upon by the members in attendance.”

“Changes/Amendments to operating budget, changes to Bylaws, and the election of Executive Board all require a quorum of 9 active Booster Members at a General Membership Meeting. Each General Membership Meeting requires a quorum to conduct any vote on amendments, bylaw changes or election of candidates. General Membership Meetings are required every other month per Bylaws.”

“At the conclusion of the fiscal year, two or three current Jags Athletic Booster Club Members are appointed by the Executive Board to be named the Reconciliation Committee. The committee reviews all financial transactions, meeting minutes and 990 filings past and present to ensure business was conducted per bylaws. The current or previous Treasurer is not allowed to serve on the Reconciliation Committee as well as any other check signer from previous or incoming year. Reconciliation Committee is provided a standard checklist that follows Texas PTA standards.”

“If any such conflict of interest arose, the interested person would call it to the attention of the Executive Board for resolution. If the conflict related to a matter required board action, such person was not allowed to vote on the matter. All conflict resolutions are resolved by an Executive Board vote and/or direction provided by the School Principal and Athletic Coordinator (Jags Athletic Booster Club Sponsor) when necessary.”

“At the first General Membership Meeting of each fiscal year, the General Membership body is presented with a Reconciliation Committee report of findings of the previous year's accounting records, sales tax filings and 990 filing. Any Booster Member can request a copy of the Reconciliation Report, Sales Tax Filings and 990 copies which are on hand for viewing. Previous year's 990 filings can be found on the irs.gov website under the Jags Athletic Booster Club nonprofit entity.”

“All Jags Athletic Booster Club documents including but not limited to the bylaws, General Membership Meeting Minutes, Financial Documents (presented at each General Membership Meeting), Reconciliation Documents listing any findings and any recommended resolutions are posted on the Jags Athletic Booster Club website as well as distributed during meetings. Person must be an active Booster Member to access the Booster Business tab of the website. 990s can be found on irs.gov under the Jags Athletic Booster Club nonprofit entity.”
