Governance Explanations

Form 990, Part VI, Section A, line 1A

The Executive Committee supervises the operation of the Museum in accordance with the policies established by the Board of Trustees. The Executive Committee also approves all temporary and/or traveling exhibitions presented by the Museum President and staff. The Executive Committee annually approves a written statement of purpose which each sub-committee must maintain and follow. The Executive Committee consists of the Chairman, Immediate Past Chairman, Vice Chairman, Treasurer, Secretary, President of the Museum Guild, President of the Museum and respective chairs of the following committees: Accessions/De-accessions and Collections, Exhibits, Education and Community Outreach.

An independent CPA firm prepares the return. The CFO & CEO review the return with a partner of the CPA firm. A copy of the approved form is provided to all Board members prior to filing with the IRS.

Form 990, Part VI, Section B, line 12C

HMNS Board members and senior management staff are required to complete a questionnaire annually which discloses any interests that might result in or have the appearance of a conflict of interest. They must also remove themselves from any participation in the particular activity or negotiation or face disciplinary action.

Financial Statement Notes

Part III, Line 1A:

Collections are not reflected as assets in the statement of financial position. Purchases of collection items are reflected first as expense and then as decreases in unrestricted net assets in the year in which the items are acquired or as decreases in temporarily restricted net assets if the assets used to purchase the items are restricted by donors. Contributed collection items are not reflected in the financial statement as donations or as assets. Proceeds from deaccessions or insurance recoveries are reflected as increases in the appropriate net asset classes. Description of collections - The Museum maintains over 1.5 million artifacts and natural history specimens in its permanent collections. Collections are maintained in the following disciplines: anthropology (including archaeology and ethnology), botany, entomology, gems and minerals, malacology, paleontology, science history and technology, and vertebrate zoology. The artifacts and specimens come from worldwide locations and were acquired by the Museum through gifts from the general public, staff field collection and salvage efforts, and purchases and exchanges with other scientific organizations. The Museum uses the artifacts and specimens for public exhibition, as loans to other museums, and for educational programs and research. Stewardship policy for collections - The Museum is responsible for the preservation of its collections in perpetuity. Under the direction of the Collections Committee, the Board of Trustees of the Museum, the President of the Museum, the Director of Collections, and the Curatorial Staff, collections continue to be cared for, used, and expanded. The proceeds of any sales of collection items are used to acquire other items for collections. The Museum maintains cataloged records of accessions, deaccessions, and items in each particular collection.
