ReasonableCauseExplanation/ExplanationTxt0Crossroads Flying Club respectfully requests abatement of any late-filing penalty for our Form 990-EZ for the tax year ending 12/31/2024. The late filing was due to reasonable cause and not willful neglect. Crossroads Flying Club is a small, volunteer-run nonprofit flying club. We do not have paid accounting staff, and our financial and filing responsibilities are handled by volunteer officers who change periodically. During the period when this return would normally have been prepared and filed, we experienced a combination of administrative turnover and record-availability issues that delayed completion of a complete and accurate return. Specifically, there was a transition in the volunteer officer responsible for maintaining the books and records, and the club's supporting documentation (including bank statements, payment records, and year-end reconciliations) was not fully consolidated and available in a timely manner to prepare the return accurately. Because we prioritize submitting accurate information to the IRS, we did not want to file an incomplete or incorrect return. Once the issue was identified, the club took prompt corrective steps. We gathered and reconciled the missing records, re-established continuity for financial reporting, and confirmed the information necessary to complete the Form 990-EZ. We are filing the return as soon as practicable after restoring complete records. To prevent this from happening again, Crossroads Flying Club has implemented process improvements, including: (1) maintaining centralized, shared access to financial records for all current officers; (2) setting internal due-date reminders well in advance of the IRS deadline; and (3) documenting year-end close procedures so officer transitions do not disrupt compliance activities. Given these circumstances, Crossroads Flying Club believes the late filing resulted from reasonable cause and respectfully requests that any late-filing penalty be waived.
