“All parents of the mechanicsburg school district students in grades 4-12 who are currently involved in a masd music program are full members of the mechanicsburg music alliance. Full members receive voice and vote in general meetings. Alumni membership may be extended to fomer masd program students by general meeting vote. Alumni membership have voice but no vote. Associate membership may be extended to parents of former masd music program students by general meeting vote. Associate membership has voice but no vote.”

“During the general membership meeting in the spring, officers and board positions are elected by regular/full membership present at the time of vote. Votes for officers are by written ballot. A nomination committee is appointed by the executive board and is responsible for presenting the slate of candidates to the members. Elected officers assume duties on fiscal year basis.”

“Form 990 is prepared for the board of directors to review. A draft is available and reviewed before filing at the time of preparation.”

“Each director, principal officer and member of a committee with governing board delegated powers shall annually sign a statement which affirms: such person has received a copy of the conflicts of interest policy; such person has agreed to comply with the policy; and such person unserstands mma is a charitable organization and in order to maintain its fedral tax exemption must engage primarily in activities with accomplishing it respective tax-exempt purpose.”

“The mechanicsburg music alliance reviews the bylaws, conflict of interest policy, and the 990 from the past year at our board retreat in july. If needed these documents are revised and voted on. Each member of the board reviews the conflict of interest policy and assures that there is no conflict and signs the document stating so. The public is made aware of our conflict of interest policy at the first general membership meeting after july. If anyone has questions about a possible conflict of inersest. It is discussed during our next executive board meeting, changes made because of the issue, recorded in the minutes and changes, revision, actions noted are brought before the general membership at the next meeting. The public is made aware that they can review our policies, by-laws, financials, by requesting the documents.”
