Governance Explanations

Form 990, Part VI, Section A, Line 7A

People to people international has a board of trustees that is not considered the governing body. The board of trustees is comprised of dues paying members of the organization. The board of trustees serves as an advisory body to the board of directors, which is the governing body. It also serves to represent and promote the organization's activities to the public and other organizations; assist in resource development and in other ways act to bring prestige to the organization and to inspire confidence in its activities. This group elects a chairman every two years in the even numbered years. The chairman of the board of trustees becomes a member of the governing board of directors as an ex-officio member with vote.

Form 990, Part VI, Section B, Line 11

Once the draft form 990 is received from the preparer it is then forwarded to the audit committee chairperson. The audit committee has been delegated the duties of reviewing the draft before it is signed in lieu of the full board. After the audit committee has reviewed and understands all aspects of the filing, they will convey their approval to the vice president of finance who will have also reviewed the draft along with the ceo. The ceo will sign the form 990 and the filed irs form 990 will be distributed to the full board at the next meeting of the board of directors.

Form 990, Part VI, Section B, Line 12C

At every meeting the conflict of interest policy is distributed to each member of the board of directors. It is included in their "board packet" which includes all materials for the meeting which is mailed to each director prior to the actual meeting. Along with the policy is a questionnaire to update and sign if that member has any change in the conflict of interest status since the last meeting. The chair of the audit committee will also speak at the board meeting during the committee reports about the conflict of interest policy and the updates to status so the conflict of interest policy is documented in the minutes of the meeting. A copy of all signed conflict of interest statements is kept in the office of the organization.

Form 990, Part VI, Section B, Line 15

During the fiscal year 2007 it was decided by the board of directors to do a compensation review of the top management of ptpi (3 individuals); ceo, sr. Vp-operations and vice president of finance. This task was assigned to the finance committee of the board of directors. During the fall of 2007 an outside firm (a consulting arm of a cpa firm) was hired that was qualified to conduct the compensation review and comparison study of like organizations. The results were presented to the finance committee in december, 2007. The full board met in january, 2008 when the compensation review and comparison was presented to the full board. At that time discussion and review of the ceo's performance and compensation were reviewed and discussed by the full board. That information was then presented to the ceo by the chairman of the board of directors at a later date for any adjustment to the ceo's salary. The ceo has since then been reviewed each january by the board of directors. Also an update to the 2007 salary review was received in 2009 and review amounts have been kept in targeted guidelines. The ceo was also authorized to review and make any adjustments within the parameters stated in the studies to the salaries of the 2 other members of the senior management team. There were no increases for any staff including the ceo and key employees in the fiscal year 2009. In 2010 a merit increase of 5% was given to ceo and key employees but this kept them in line with the compensation review done previously and the update received in 2009. In fiscal year 2011, 2012 and 2013 a 3% bonus was given to ceo and key employees but their base pay is still the same base pay as 2010, which is within the parameters acceptable to the board of directors. During the year of 2013 the former ceo resigned the position and the new ceo came on board at a lower rate of pay than the previous ceo.

Upon request of the public a hard or soft copy of governing documents can be obtained by written or oral request. This includes any 501(c)(3) documents such as charter, etc. As well as the conflict of interest policy. Annual information such as the annual report and irs form 990 are also listed on the organization's website. The organization also shares its information with charity information websites sponsored by the bbb wise giving alliance and in our case in particular the greater kansas city community foundation and guidestar.

Form 990, Part III, Line 3

During the fiscal year 2013 people to people international elected to end the operation international children program. This program previously contributed revenue and one of the larger amount of program expenses. It was discontinued as the military that was a part of the program was exiting iraq and afghanistan as well as the public interest in the program regarding donating was not keeping up with the costs. Therefore, it was decided to terminate the program during 2013.

Form 990, Part XI, Line 2C

The audit committee is responsible for the hiring of the auditors as well as all conduct of the completion of the annual audit process. They would also see that any recommendations are implemented if possible.

Financial Statement Notes

PART V, LINE 4:

Ptpi received a gift of $30,000 during the fiscal year 2013 which is intended to be used to support scholarships for the global youth forum or any future student program which may be created in lieu of the global youth forum.

PART X, LINE 2:

People to people international is exempt from federal income taxes under section 501(c)(3) of the internal revenue code. Uncertain tax positions, if any, are recorded in accordance with fasb asc 740, income taxes (previously fin 48). Fasb asc 740 requires the recognition of a liability for tax positions taken that do not meet the more-likely-than-not standard that the position will be sustained upon examination by the taxing authorities. There is no liability for uncertain tax positions recorded at december 31, 2013 or 2012.

THE EDUCATIONAL AND HUMANITARIAN INITIATIVES ARE TRAVEL PROGRAMS TO OTHER COUNTRIES WHICH GIVE DELEGATES A UNIQUE OPPORTUNITY TO MEET WITH THE LOCAL PEOPLE AND LEARN ABOUT THEIR POLITICAL, CULTURAL, AND ECONOMIC SYSTEMS; AS WELL AS PARTAKE IN NUMEROUS HUMANITARIAN ACTIVITIES AND VISIT THE SITES OF HISTORICAL AND CULTURAL RELEVANCE OF THE HOST COUNTRY. AS PART OF THE INITIATIVES, GRANTS ARE USUALLY AWARDED TO SOCIAL SERVICE ORGANIZATIONS OR GROUPS WITHIN THE HOST COUNTRY IN WHICH THE GROUP WILL MEET WITH DURING THEIR PROGRAM. IN 2013, $1,600 WAS DISTRIBUTED TO SOCIAL SERVICE ORGANIZATIONS IN OTHER COUNTRIES AS PART OF THE EDUCATIONAL AND HUMANITARIAN INITIATIVE PROGRAMS. COMMUNITY CHAPTERS ARE MEMBERSHIP-BASED GROUPS THAT GIVE ADULTS OVER THE AGE OF 18 THE OPPORTUNITY TO PROMOTE PEACE THROUGH UNDERSTANDING IN THEIR COMMUNITY. AS OF DECEMBER 2013, PTPI HAD 147 COMMUNITY CHAPTERS IN 53 COUNTRIES TOTALING 2,925 CHAPTER MEMBERS. COMMUNITY CHAPTERS CARRY OUT ACTIVITIES DEVOTED TO CULTURAL UNDERSTANDING, EDUCATION, AND HUMANITARIANISM. AS PART OF PTPI'S COMMUNITY CHAPTER NETWORK, MEMBERS GAIN A FORMALIZED STRUCTURE IN WHICH TO ENGAGE IN CULTURAL ACTIVITIES, TAKE PART IN LOCAL AND INTERNATIONAL HUMANITARIAN INITIATIVES, AND RECEIVE IMPORTANT LEADERSHIP SKILLS AND GLOBAL EXPERIENCE. PROGRAMS THAT COMMUNITY CHAPTERS TAKE PART IN INCLUDE: INTERNATIONAL VISITORS PROGRAM, MEET THE DIPLOMATS, SISTER CHAPTER PROGRAM, GLOBAL YOUTH MURALS ON TOUR, GLOBAL BOOK CLUB, GLOBAL YOUTH SERVICE DAY, COMMUNITY CHAPTER AWARDS, AMERICAS REGIONAL MEETING, WORLDWIDE CONFERENCE, EDUCATIONAL AND HUMANITARIAN INITIATIVES.YOUNG GENERATION PROGRAMS - IMPACT TRAVEL IS EDUCATIONAL, CULTURAL, AND HUMANITARIAN FOCUSED TRAVEL PROGRAMS FOR PTPI MEMBERS BETWEEN THE AGES OF 18 -25. EACH YEAR, IMPACT TRAVELS TO ONE NORTH AMERICAN DESTINATION AND ONE INTERNATIONAL DESTINATION. IMPACT PROGRAMS IN 2013 TRAVELED TO CUBA AND SEATTLE, WASHINGTON, TRAVELLING A TOTAL OF 26 STUDENTS.UNIVERSITY CHAPTERS ARE MEMBERSHIP-BASED GROUPS THAT GIVE STUDENTS AGES 18-25 THE OPPORTUNITY TO PROMOTE PEACE THROUGH UNDERSTANDING IN THEIR SCHOOL OR COMMUNITY. AS OF DECEMBER 2013, PTPI HAD 40 UNIVERSITY CHAPTERS IN 8 COUNTRIES TOTALING 225 CHAPTER MEMBERS. UNIVERSITY CHAPTERS CARRY OUT ACTIVITIES DEVOTED TO CULTURAL UNDERSTANDING, EDUCATION, AND HUMANITARIANISM. AS PART OF PTPI'S UNIVERSITY CHAPTER NETWORK, MEMBERS GAIN A FORMALIZED STRUCTURE IN WHICH TO ENGAGE IN CULTURAL ACTIVITIES, TAKE PART IN LOCAL AND INTERNATIONAL HUMANITARIAN INITIATIVES, AND RECEIVE IMPORTANT LEADERSHIP SKILLS AND GLOBAL EXPERIENCE. IRS990/ProgSrvcAccomActy2Grp/Desc0STUDENT PROGRAMS - PEOPLE TO PEOPLE INT'L'S STUDENT PROGRAMS ENABLE YOUTH, AGES 13-18, TO TAKE ACTION LOCALLY AND GLOBALLY THROUGH EDUCATIONAL, CULTURAL AND HUMANITARIAN ACTIVITIES. THE GOAL IS FOR YOUTH TO INCREASE GLOBAL AWARENESS AND RESPECT THROUGH DIRECT EXCHANGE WITH OTHERS. PROGRAMS INCLUDE: THE GLOBAL YOUTH FORUM (DOMESTIC CONFERENCE), STUDENT CHAPTERS, THE EXPERIENCE STUDENT TRAVEL PROGRAM (INTERNATIONAL PROGRAM) AND THE SCHOOL AND CLASSROOM PROGRAM.GLOBAL YOUTH FORUM - THIS IS PEOPLE TO PEOPLE INT'L'S PREMIER EVENT FOR STUDENTS, PROVIDING 20 HOURS OF COMMUNITY SERVICE AND 8 - 10 HOURS OF EDUCATIONAL CURRICULUM AND PROGRAMMING. THE 2013 CONFERENCE FOCUSED ON THE TOPIC OF GLOBAL EDUCATION. PREVIOUS GYF'S HAVE BEEN CENTERED AROUND SUBJECTS PERTAINING TO HUMANITARIANISM, CULTURAL UNDERSTANDING, GLOBAL HEALTH, GLOBAL SUSTAINABILITY AND PEACE AND CONFLICT. AT THE GYF, STUDENTS ALSO HAVE THE UNIQUE OPPORTUNITY TO LEARN FIRST-HAND ABOUT WORLDWIDE CULTURES THROUGH THE INTERNATIONAL STUDENT PANEL PRESENTATION AND CULTURE FAIR, AS WELL AS THROUGH THE INTERNATIONAL PARTICIPANTS THEY MEET. SINCE THE GYF BEGAN IN 2002, APPROXIMATELY 1,900 STUDENTS FROM THROUGHOUT THE UNITED STATES AND THE WORLD HAVE PARTICIPATED IN THIS FOUR-DAY LEARNING OPPORTUNITY. MANY OF THESE DELEGATES HAVE ATTENDED TWO OR MORE WITH SEVERAL HAVING ATTENDED EVERY YEAR POSSIBLE. THE 2013 PROGRAM BROUGHT 104 STUDENTS TO WASHINGTON, D.C. FOR THE 13TH ANNUAL CONFERENCE. PTPI WAS PLEASED TO OFFER 16 INDIVIDUALS FULL SCHOLARSHIPS AND 2 PARTIAL SCHOLARSHIPS THROUGH THE GENEROSITY OF THE AMBASSADOR CHARLES HOSTLER GLOBAL YOUTH FORUM SCHOLARSHIP FUND AND THE JOHN L. COOPER YOUTH LEADERSHIP FUND, BOTH OF WHICH ARE TEMPORARILY RESTRICTED FUNDS HELD AT PEOPLE TO PEOPLE INTERNATIONAL. PTPI STUDENT CHAPTERS STUDENT CHAPTERS PROVIDE STUDENTS AGES 13 - 18 THE OPPORTUNITY TO PROMOTE EDUCATIONAL, CULTURAL AND HUMANITARIAN ACTIVITIES ON THE LOCAL LEVEL. AS OF DECEMBER 2013, THERE WERE 85 STUDENT CHAPTERS IN 26 DIFFERENT COUNTRIES, INCLUDING 38 CHAPTERS IN THE UNITED STATES. APPROXIMATELY 2200 STUDENT MEMBERS WORLDWIDE TAKE PART IN THIS INTERNATIONAL EFFORT.PTPI GIVES STUDENT CHAPTER MEMBERS THE FREEDOM AND FLEXIBILITY TO SET THEIR OWN PROJECT GOALS, ALLOWING THEM TO FOCUS ON ACTIVITIES WHICH ADDRESS COMMUNITY NEEDS. PTPI'S LARGEST STUDENT CHAPTER INITIATIVE IS GLOBAL YOUTH SERVICE DAY (WWW.GYSD.ORG), WHICH TAKES PLACE MID-APRIL EACH YEAR. PTPI HAS BEEN A GLOBAL PARTNER OF YOUTH SERVICE AMERICA FOR GYSD FOR ALMOST 10 YEARS. GYSD IS CELEBRATED EACH YEAR IN MORE THAN 100 COUNTRIES AND IS THE LARGEST SERVICE EVENT IN THE WORLD. IN 2013, 2,864 MEMBERS FROM 18 COUNTRIES CARRIED OUT 55 PROJECTS. SINCE 2009, ALMOST 25,000 STUDENTS HAVE PARTICIPATED IN THIS EVENT.PTPI EXPERIENCE STUDENT TRAVEL PROGRAM - THIS PROGRAM IMMERSES STUDENTS AGES 16 - 18 IN CULTURAL, EDUCATIONAL AND HUMANITARIAN ACTIVITIES WHILE ENGAGING THEM IN THOUGHTFUL DISCUSSIONS ABOUT THEIR ROLE IN THE WORLD. THROUGH THEIR TRAVEL EXPERIENCE, STUDENTS GAIN A REALISTIC IMPRESSION OF DAILY LIFE IN THE COUNTRY THEY ARE VISITING, FOCUS ON HUMANITARIAN EFFORTS AND EXCHANGE VIEWS WITH OTHER TEENS AND PEOPLES OF THE COUNTRY, AS WELL AS VISIT SITES OF HISTORIC AND CULTURAL INTEREST. IN 2013, 17 STUDENTS FROM ACROSS THE UNITED STATES TRAVELED ON THE PROGRAM TO PERU. HIGHLIGHTS INCLUDED TWO DAYS OF HANDS-ON WORK AT A RURAL SCHOOL IN THE SACRED VALLEY, BEING IMMERSED IN AND LEARNING ABOUT THE CULTURE THROUGH POTTERY AND DANCE CLASSES, AND VISITING THE CUYUNI COMMUNITY WHERE DELEGATES SAW WHAT RURAL LIFE IS LIKE. ADDITIONALLY DELEGATES PARTICIPATED IN A THREE-DAY 20 MILE TREK THROUGH THE ANDES AND VISITED MACHU PICCHU BEFORE DEPARTING FOR HOME THROUGH LIMA. AS A RESULT OF THE STUDENT'S PARTICIPATION IN EXPERIENCE IN PERU, THEY EARNED 40 COMMUNITY SERVICE HOURS. PTPI'S SCHOOL & CLASSROOM PROGRAM THIS PROGRAM AIMS TO LINK CLASSES AND YOUTH GROUPS IN DIFFERENT COUNTRIES FOR PEN PAL EXCHANGES AND PROJECTS THAT FOSTER CULTURAL UNDERSTANDING

THIS PROGRAM WAS STARTED IN 2004 AND WAS DESIGNED TO AID U.S. TROOPS IN OVERSEAS LOCATIONS TO PROVIDE SCHOOL SUPPLIES TO CHILDREN IN LOCATIONS WHERE U.S. TROOPS ARE DEPLOYED. THE SCHOOL SUPPLIES ARE DISTRIBUTED BY THE TROOPS WHICH HELPED BRING TRUST OF THE U.S. SOLDIERS TO THE CHILDREN OF WAR TORN REGIONS. DUE TO THE NATURE OF THE PROGRAM AND THE WINDING DOWN OF SEVERAL CONFLICTS, THIS PROGRAM WAS DISCONTINUED DURING 2014 AND THE EXPENSES ARE MINIMAL BY END OF THE YEAR.
